Payroll
Payroll makes sure every employee is paid correctly and on time, and handles the deductions, timesheets, and retirement contributions that go with it.
Start here: find your payroll technician
Payroll is divided by your own last name — not by your school, your job title, or your bargaining unit. Going straight to the right person is much faster than the main line.

Grouped by what you are trying to do. Timesheets are colour-coded — using the wrong colour is the most common reason pay is delayed.

Pay stubs, W-2s, and record requests
Send requests for pay stubs, W-2s, and similar records to payroll@alvordschools.org.
Allow 5 to 7 business days. If you need documentation for a mortgage, loan, or rental application, ask well before your deadline — we cannot usually turn these around same-day.
Things worth knowing
Get your timesheet in on time
Payroll runs to a fixed cut-off. A timesheet that arrives after it will normally be paid on the following cycle, not the current one.
Tell us when your bank changes
Submit a new Direct Deposit Form before you close the old account. If pay is returned by a closed account it has to be reissued, which adds days.
Check your withholding after a life change
Marriage, a new child, or a second job all change what you should be withholding. Payroll cannot advise on what to claim, but we process whatever you submit.
Working out of class? Use the yellow form
If you are covering a higher classification, that is out-of-class pay and it needs the yellow timesheet with your supervisor's approval.
Retirement: the two different things
Mandatory
CalSTRS & CalPERS
Your pension. Certificated staff contribute to CalSTRS; classified staff to CalPERS. These deductions are automatic and not optional.
Voluntary
403(b) & 457(b)
Extra retirement saving on top of your pension. You choose a provider from the approved list and decide how much. Entirely your call.
Only providers on the approved list can take district payroll deductions. If a representative approaches you about a plan, check the list before signing anything. Payroll can confirm whether a provider is approved, but cannot give financial advice — for that, speak to a licensed adviser of your own choosing.
Common questions
When do I get paid?
Pay dates follow your bargaining unit's schedule. Certificated staff on the 12-pay plan are paid across all twelve months; others follow the standard calendar. Your payroll technician can confirm your dates.
My pay looks wrong — what do I do?
Call your payroll technician directly using the lookup above, and have your timesheet or assignment paperwork to hand. Most discrepancies trace back to a timesheet that arrived late or used the wrong colour form.
How do I get a pay stub or W-2 copy?
Email the payroll inbox. Requests are processed in 5 to 7 business days, so ask early if you need it for a mortgage or loan application.
What is the difference between CalSTRS/CalPERS and a 403(b)?
CalSTRS and CalPERS are the mandatory pension systems — certificated staff are in CalSTRS, classified staff in CalPERS. A 403(b) or 457(b) is voluntary extra saving on top, and you choose the provider from the approved list.
